Pharmacist guide

Stock, batches and expiry, dispensing, the counter.

Your first sign-in

  1. Open Account menu › My Profile, select Change Password, and turn on Two-step sign-in.
  2. Your work needs the Inventory module, and the counter needs Pharmacy Counter as well. If Pharmacy › Pharmacy sends you back to the dashboard, the module is not on yet — ask your administrator.
  3. Use the Manage PIN button on My Profile to set your counter PIN if you will work a till. Your administrator can set one for you if you are stuck — change it afterwards, since every sale it rings up carries your name.

Setting the stockroom up

  1. Pharmacy › Inventory › New Item — the medicines and supplies you carry, with their unit and dosage form.
  2. Receive stock as batches, each with its own expiry. Dispensing draws from the batch nearest to expiring.
  3. Pharmacy › Brands — the brands and distributors behind a generic, so a doctor can prescribe by brand and the cashier can swap to what is actually in stock.
  4. Watch the reports for expiring and low stock before they bite.
Regulated medicines: a classification that arrived with the shipped starter list only advises. It starts blocking or warning on a prescription once your clinic has reviewed and accepted it.

Dispensing and the counter

  • Dispense against a prescription from the visit; the record ties the medicine, the batch and the patient together.
  • Over-the-counter sales run at Pharmacy Counter › Counter. Money is either settled at the counter or billed to a patient account — never both.
