Is CareClinic free for patients? expand_more
Yes. Searching for doctors and clinics and requesting an appointment through the public portal is completely free for patients.
Do I need an account to book an appointment? expand_more
No account is required. Pick a clinic or doctor, choose a time, and submit your details — the clinic receives your request and confirms it with you. On the last step you are asked to tick a box agreeing to the Terms of Use and the Privacy Policy before the request is sent.
How do I find the right clinic or doctor? expand_more
Search the public directory by doctor name, specialty or clinic name. Open a profile to review the clinic, doctor and available booking options before you send a request.
Can I choose a service and a specific doctor? expand_more
Yes. Choose a service first, then select a listed doctor or leave the doctor field on “No preference” when the clinic offers that choice.
Does my preferred date and time reserve the appointment? expand_more
No. Your submission is a request until the clinic reviews it. The clinic may confirm your preferred time, suggest another time or decline the request.
How do I know my appointment is confirmed? expand_more
After you submit a request you receive a status link. The clinic reviews the request and updates it to confirmed, and you can check that link any time for the latest status.
How do I change or cancel a booking request? expand_more
Contact the clinic using the details on its public profile. Give the clinic your booking reference so its staff can find the request and update it.
Will I be reminded about my appointment? expand_more
Yes. About a day before your visit, the clinic emails you a reminder saying when it is, who you are seeing and how to reach them — with the appointment attached as a calendar file you can add to your own calendar in a tap. On a Gmail or Google Workspace address it is filed for you automatically. It goes to the email address the clinic holds for you, so tell them if yours changes.
A clinic says online booking is unavailable — what now? expand_more
That clinic has switched its online form off for the time being. The message on its page is the clinic’s own and usually says how to reach it — otherwise use the phone number, email or address on its profile. Other clinics in the directory are unaffected, and a request you already sent to that clinic is still being handled.
Can I use CareClinic for urgent or emergency help? expand_more
No. The booking form and patient messages do not provide emergency care. Contact the clinic by phone or use your local emergency services when you need urgent help.
Is my health information kept private? expand_more
Yes. Each clinic's data is fully isolated and sensitive fields are encrypted. Your information is only visible to the clinic you choose to share it with.
What emails will I get, and can they be turned off? expand_more
Your clinic emails you about your own bookings — confirmations, the day-before reminder, your portal link. The CareClinic team may separately send a service notice about the platform itself, such as a change to the Terms of Use or Privacy Policy. These are notices, never advertising, and your address is never sold or passed on. If you would rather not receive them, tell your clinic — they hold your address.

How do I sign up my clinic? expand_more
Register for free from the “Register as Doctor” button — join an existing clinic or open your own. You are asked to agree to the Terms of Use and the Privacy Policy on the form, and we confirm your email address before the request goes to the approver.
Can a doctor join an existing clinic? expand_more
Yes. Choose “Join an existing clinic” on the registration form and select the clinic. The clinic administrator reviews the request, and the doctor does not need a separate subscription.
Is there a free plan? expand_more
Yes. You can start free and add patients, staff, storage or extra modules only when you need them.
What is included in each plan? expand_more
Plans set the patient, staff and storage allowances and the modules your clinic can use. The Pricing and Modules pages show the current limits and included features for each plan.
Can I add capacity without changing plans? expand_more
Paid clinics can request recurring add-ons for more patients, staff, storage or selected modules. A clinic administrator sends the request from the Subscription area, and the platform team activates it after arranging billing.
What happens if a paid plan expires? expand_more
The clinic keeps working during a seven-day grace period. After that, it returns to the Free plan and paid features switch off until you renew. CareClinic does not delete your clinic data when the plan changes.
Can patients find my clinic online? expand_more
Yes, and it does not depend on your plan — clinics on the free plan and clinics still in their trial period are listed the same as any other. Your clinic and each of your doctors get a public profile with online appointment booking. You can switch the listing off for the whole clinic, or for one doctor at a time.
Can I stop taking online bookings for a while? expand_more
Yes. Under Settings › Public Visibility, switch Online Booking off. Every “Book” button disappears from your public pages and from your directory card, and visitors read a short message you write yourself — the default is used if you leave it blank. Your doctors, services and opening hours stay on show, and the requests already in your inbox keep moving. Switch it back on whenever you are ready.
How do online appointment requests reach my clinic? expand_more
Each request appears in the Appointment Requests inbox. Staff review the requested service, doctor, date and time, then confirm it, propose another schedule or decline it. CareClinic emails the patient when the status changes.
Can I use my own clinic web address? expand_more
Yes. You can use a clinic subdomain or connect your own custom domain, with branding tailored to your clinic.
Can I control what each staff member can access? expand_more
Yes. Clinic administrators assign roles and permissions to each staff account. A person can hold more than one role, and unavailable menus and actions stay hidden.
Can I show the live queue on a waiting-room TV? expand_more
Yes. The Health Board shows who is being served, who is waiting, doctor availability, clinic services and your own slides. It uses encounter reference numbers by default, and a clinic can choose a more identifying name format only after considering where the screen is visible.
Can I export clinic or patient records? expand_more
Yes. Authorized staff can export a patient’s readable record as PDF or structured data. Clinic administrators can also prepare an encrypted clinic archive for backup or account closure.

The Doctor mobile app
What does the Doctor mobile app do? expand_more
It lets doctors manage appointments, view patient records, write prescriptions and receive instant notifications from their Android device.
Which devices are supported? expand_more
The app runs on Android. Sign in with your existing clinic credentials to get started.
Can I manage appointment requests from the app? expand_more
Yes. Doctors can review pending requests and confirm, reschedule or decline them from the app.
Does the app work without an internet connection? expand_more
No. The app needs an internet connection because it reads and updates the clinic system as you work.
Can I protect the app with fingerprint or face unlock? expand_more
Yes. You can use your device’s biometric unlock to reopen a signed-in session. Android handles the biometric check on the device, and CareClinic does not receive your fingerprint or face data.
Privacy, security & data
How does CareClinic separate one clinic’s data from another? expand_more
CareClinic resolves the clinic from its web address before opening its data. New clinic workspaces use a dedicated database and credential, and tenant checks add another boundary to reads and writes.
Does CareClinic encrypt patient information? expand_more
Yes. CareClinic encrypts registered identity and clinical fields with key material that it assigns to the clinic. A copied database or backup does not reveal those protected fields without the clinic key.
Can clinics review who opened a patient record? expand_more
Yes. The Record Access Log records access to patient information, including readable exports and company portal views. Authorized clinic staff can review and export that log.
Can a clinic close its CareClinic account? expand_more
Yes. A clinic administrator can request closure. Once the platform operator approves it, CareClinic closes the clinic and removes its public pages. CareClinic destroys the clinic database and encryption keys after a 30-day recovery period.
Where can I read the privacy and legal terms? expand_more
The Privacy Policy and Terms of Use are available from the public site footer and the registration and booking forms. The Doctor mobile app also has its own privacy policy.
