CareClinic Clinic management system Philippines Register a clinic

Mobile clinic management helps doctors and staff complete clinic work without returning to one desktop computer. CareClinic supports this through its Doctor Mobile App, where doctors can review appointments and patient records, write consultation notes, and create prescriptions. Staff can use the clinic's browser system on a computer or tablet to carry out work their role permits. Both routes require access to the clinic server, so your connection and deployment setup matter.

For a doctor moving between consultation rooms, the useful change is being able to finish a record near the point of care. For an administrator, it is reducing the number of handoffs that depend on someone returning to a particular workstation. You can start with one task that causes repeated trips to the desk, then check whether your team can complete it on the device they will use during a shift.

Give each role a practical way to work

Doctors and reception staff need different things from a smaller screen. A doctor may need to review a previous consultation before seeing the next patient. A receptionist may need to check the schedule or update a booking while helping someone away from the counter. Choose the device around that task and the amount of typing it involves.

The Doctor Mobile App provides a phone interface for clinical work. Staff have browser access through the Clinic Management System, including support for computers and tablets. A tablet can make sense for a staff member who needs a larger view while moving around the clinic. For sustained typing, you may still prefer a keyboard and a larger screen.

Use individual accounts with the permissions each person needs. A smaller device does not change a receptionist's role into a doctor's role, or give someone access to a feature your clinic has not enabled. Before a rollout, have each person sign in and try the intended task with their own account. That check catches missing access before someone depends on the device during a busy session.

Check the schedule before returning to reception

In the app, doctors can open today's appointments, upcoming appointments, and past visits. They can then open an appointment to see its details. This gives the doctor a way to check the clinic schedule while away from the reception computer, instead of asking a colleague to read it out or send a screenshot.

Staff can continue managing bookings through the browser. The user manual describes creating an appointment, choosing a doctor and date, and selecting an available time. CareClinic checks for booking overlaps when staff save. If someone else takes the slot before the save completes, staff need to resolve the conflict shown by the system.

Agree on who updates appointment status. Reception and doctors should know who marks a visit in progress and who completes it. The ability to open the schedule from more places is useful only if your team maintains it. During your trial, check that colleagues can find the updated appointment and understand its status without asking the person who last handled it.

Review the clinic record near the patient

CareClinic's app can open a patient profile and retrieve medical history and the latest prescription through the clinic system. You can consult the information your clinic has recorded before adding the current visit's findings. That reduces the need to carry a printed summary between rooms or rely on an earlier screenshot.

The patient records feature gives your team a shared place to maintain that information. The value depends on what staff and doctors have entered. Review the dates and context of previous records, and check that you have opened the intended patient before documenting anything new. A phone view does not establish that the record contains care delivered outside your clinic.

Keep the screen suitable for the setting. Find a position where other patients cannot read it, and close the record when you finish. If a colleague needs the information for their own work, have them open the appropriate record with their account. That keeps the next step within the clinic workflow and avoids making a personal screenshot the handoff document.

Save consultation notes before the next handoff

The app includes a consultation form that creates or updates a medical record in the clinic system. Doctors can record their findings while the visit is fresh, without keeping a separate note to transcribe after returning to a desk. Once the save succeeds, authorized colleagues can retrieve that saved information through the clinic system.

This distinction matters: entering text on the phone and completing a server save are separate steps. Wait for the application to finish saving before telling another staff member that the record is ready. If you see a connection error, check the record after reconnecting before entering the same information again.

Set a documentation handoff rule your team can follow. For example, decide which part of the visit record the doctor must finish before reception proceeds with its next task. Use your existing clinic responsibilities to make that decision. CareClinic provides a place to save the work; your team still needs to agree on what counts as complete and who follows up on unfinished entries.

Create a prescription and check the PDF

With the prescriptions module enabled and the necessary permission, doctors can create a prescription from the app. They can also request its PDF and use the phone's sharing function. This allows the doctor to prepare the prescription away from the desktop and review the document before choosing how to deliver it.

CareClinic's prescription tools support this record-to-document step. Make the saved prescription your reference when coordinating with colleagues. If your process also involves printing or pharmacy work, test that next step with the people who perform it. Creating a prescription does not, by itself, mean someone has dispensed the medicine or handed over a printed copy.

Treat PDF sharing as a deliberate action. Check the document and recipient before you send it through your clinic's chosen channel. After exporting a file, you also need to account for the receiving application or device. During staff orientation, demonstrate the complete route from creating the prescription to confirming that the intended recipient has the right document.

Handle laboratory work when your clinic enables it

The Doctor Mobile App supports laboratory orders and results for clinics that use the laboratory feature. A doctor can initiate an order away from the desktop, subject to the clinic's enabled module and the account's permissions. The clinical team can then continue its laboratory process in CareClinic.

Include laboratory management in your mobile trial if doctors request tests during consultations. Check which account can place an order and which account can view the resulting information. A visible laboratory section is not proof that someone has completed the test or recorded the result; the responsible staff member must still carry out those steps.

Keep the handoff specific. Decide how laboratory staff learn that an order needs attention and how doctors know when to return to the record. You should be able to describe that route without relying on someone walking a paper request back to the desk. Measure the follow-up work your team still performs, then adjust the local process where necessary.

Keep patient replies within the clinic conversation

For clinics that enable patient messaging, doctors can read and reply to a conversation through the app's appointment messaging screen. In the browser, staff can open patient conversations from the patient profile, an appointment, or the Messages area. This gives the clinic a way to continue a patient conversation while a doctor is away from the desk.

An administrator must first turn on patient messaging under Settings > Patient Messaging. The manual makes this distinction explicit: messaging has its own setting and starts off. Enabling a clinical module does not replace that setup step. Staff also need to establish patient portal access before the patient can participate through their secure link.

Set a response expectation when you introduce the service. Assign someone to review unread conversations during agreed hours, and explain how that person should involve the doctor. Do not treat the presence of the app as a promise of continuous availability. The manual states that replies have no guaranteed response time and directs urgent concerns to a call or the appropriate urgent-care route.

Match away-from-desk work to your connection

CareClinic offers hosted and on-site deployment options. Your choice affects where staff can reach the system. A hosted setup allows access over an internet connection. An installation restricted to your clinic network needs an appropriate access arrangement before you can use it from outside that network.

Plan these workflows around a working connection to your clinic server. The app fetches records and submits changes through that connection. Do not build your procedure around an assumption that a failed save will upload after the phone reconnects. Staff should check the outcome of the save and follow your clinic's downtime process when access fails.

Test the places where you expect people to work. A tablet at reception and a phone in a consultation room may have different connection quality. If work outside the building is part of your plan, include that setting in the trial. Confirm the intended app and server setup with your operator before promising remote access to your team.

Trial one complete workflow before expanding

Start with a doctor and a staff member who share a handoff. Give them appropriate accounts and use an approved test record. Have them complete a visit-related task from start to finish on the devices they expect to use. Include the receiving person's work, since the goal is to remove a delay between colleagues.

Trial stepWhat to check
Open the appointment and patientThe user reaches the correct clinic and record with their account.
Save consultation informationThe doctor confirms success, and authorized staff can retrieve the saved entry.
Create a prescription if enabledThe doctor can review the PDF and complete the intended delivery process.
Try the intended work locationThe device can reach the clinic server throughout the task.

Ask participants to record each time they still need the shared desktop and why. Distinguish a missing permission from an awkward typing task or a connection problem. You can then decide whether to change access, supply a keyboard, or keep that particular task at a workstation. Count repeated entries and trips back to reception during the trial, rather than assuming that phone access alone has improved the workflow.

Give the team a clear owner for each unfinished step. Doctors need to know when they have completed the clinical entry; staff need to know where to find it and what to do next. With those decisions in place, you can use CareClinic to move suitable work closer to the patient and reduce dependence on a single desk.
