Pharmacy & Inventory keeps track of the medicines and supplies your clinic holds — what you have, what you have dispensed, and what is about to run out or expire.
What it does
- Maintains a list of medicines and supplies with their quantities.
- Keeps a brand catalog for each medicine — the available brands, their distributor and contact details — so the right product is easy to pick and reorder.
- Records each item dispensed, so stock counts stay accurate, and ties the dispense to the visit's reference number.
- Produces a detailed dispensing invoice PDF for the patient.
- Tracks batches and expiry dates.
- Warns you when items are running low or nearing expiry.

Knowing what is controlled
Each medicine carries a regulatory classification — over the counter, prescription only, or dangerous drug (S2) — with its generic name. The classification shows as a label wherever the medicine is listed, so a controlled substance is obvious at a glance, and it is what drives the prescribing checks and the escalated expiry warnings.
The platform ships a starter list of internationally controlled substances as a prompt, flagged for review. Nothing on it is enforced until your pharmacist confirms it, and a medicine you decide is not controlled stays that way. See Prescriptions for how the classification drives the prescribing checks.
Getting your stock in
You do not have to type your stockroom in item by item. Upload the spreadsheet you already keep and the importer loads the catalog, your opening stock batches, the brand list and — if you run the counter — the selling prices, all from one file.
Your own column headings are fine. The importer makes its best guess, then shows you a screen where you point each column at the field it holds, correct any cell by double-clicking it, and see exactly what would be created or changed before anything is written. You can also download the file back "as read", fix it in Excel and upload it again.
Re-importing the same file is safe: items already on file are left alone (or corrected, if you ask for that), and a batch already recorded is never added twice, so your stock counts never double.
A regulatory classification in your file is recorded as your clinic's own decision and is enforced from that moment. A row that would weaken a classification your pharmacist already accepted is shown separately and left unticked.
Selling it over the counter
This module is your stockroom — what you hold, what you dispensed against a visit, and what is about to run out. If you also want to sell to whoever walks in, including people who are not your patients, add Pharmacy Counter. It runs the till, takes the payment and deducts from the stock this module tracks.
This is an optional feature your clinic can switch on when needed.
