Your clinic's front door on the internet
The Public Portal is the website where people who are not yet your patients can discover your clinic, learn about your doctors, and request an appointment — any time of day, without phoning in.
What it does
- Lists your clinic and doctors in a clean, searchable public directory — on any plan, from the first day of your trial, with no upgrade needed to be found.
- Gives every listed doctor their own profile page, so a clinic with several doctors is not reduced to one entry.
- Finds people the way patients actually search: type a full name, a specialty or the clinic's name and the directory matches on all of them, word by word. A doctor with a Display Name set is listed and found under that name.
- Shows each doctor's specialty and the services your clinic offers.
- Presents your doctors and their weekly availability right on the home page, each with a one-tap Book Appointment button.
- Lets patients request an appointment online in a few simple steps.
- Lets you close that form whenever you need to. Under
Settings › Public Visibility, turning Online Booking off withdraws every "Book" button from your pages and from your directory card, and shows visitors a short message you write yourself — while your doctors, services and opening hours stay on show, and the requests already in hand keep moving. - Sends the request straight to your team and keeps the patient informed of its status.
- Gives doctors a way to register and join the platform on their own — either starting a new clinic or asking to join an existing one, with the clinic's administrators notified of the request once the doctor's email is verified.
- Shows your clinic's Data Protection Officer on your public page, so a patient with a question about their own data can find the right person at your clinic rather than being sent to us. It appears once you fill it in under
Settings › Privacy & Security.
The patient's own secure portal
Separately from the public directory, your clinic can email a patient a secure link to their visit. Opening it asks for a one-time code sent to their email, so a forwarded link on its own gets nobody in.
Not every link opens the same thing. The patient's own link opens their portal; a link sent to somebody else — a signed imaging result emailed to a listed contact person, for instance — opens that one result and nothing more, with no records, billing or messages behind it. Every link stops working on its own, whether or not a visit is ever completed.
Behind that gate a patient can complete their pre-visit intake, upload documents and receipts, message your team, and download the prescriptions and certificates you have issued them.
Messaging is a choice each clinic makes. It is off until an administrator turns it on under Settings → Patient Messaging; while it is off the patient's portal simply has no message box, and everything else on the portal works as usual.
Once it is on, the message conversation follows the patient rather than ending with one appointment. Clinic staff can answer from the current appointment or the patient profile, and unread conversations are collected in Clinical › Messages. They can also see their own records. Your records shows what your clinic holds about them — their details, consultations, prescriptions, released lab results, appointments and certificates — and offers the same PDF and data-file downloads your staff can produce from the patient page. It is the cheapest way to answer "can I have my records": most people never need to ask.
The page says plainly what it does not show: records held by other clinics, anything an employer or insurer keeps separately, and notes a clinician wrote for their own working use.
Why it helps
For the clinic
You get a professional online presence without hiring a web designer. New patients can find and reach you outside office hours, which means fewer missed opportunities.
For doctors
Being listed publicly helps patients find the right specialist, and each doctor has a page of their own rather than sharing the clinic's. Independent doctors can present their own profile and accept bookings directly. Listing stays a choice: the clinic can switch its directory entry off entirely, and any single doctor can be left out without affecting the rest.
For staff
Requests arrive neatly in the system instead of as scattered phone messages, so the front desk spends less time on the phone and more time helping the people in front of them.
For patients
They can look up a clinic, choose a doctor, and ask for a time that suits them — from their phone, at midnight if they like — and simply wait for confirmation.
Booking online never bypasses your team. Every request is reviewed and confirmed by clinic staff before it becomes an appointment.
