Organize what your clinic offers
Departments, Services & Packages is where you describe what your clinic does and what it costs — the departments you run, the individual services you provide, and the bundles you offer.
What it does
- Groups your clinic's work into departments.
- Lists the services each department provides, with their prices.
- Lets you bundle services and non-service items into packages — an item from your pharmacy or supplies inventory, or a one-off line you simply type in.
- Works out the package discount for you: set one price for the bundle and the system shows the difference against what the items would cost separately.
- Brings your laboratory tests in as services when the Laboratory module is on, with their prices still governed by the test catalogue.
- Lets a service be moved to another department without losing its history.
- Connects doctors and staff to the departments they work in.
Moving a service between departments
A service can be transferred to a different department at any time from its edit page — pick the new department and save. It keeps its code, price, description and assigned doctors; only which department owns it changes. The picker only appears once you have more than one department to move it to.
A service's code is fixed once created. Other records refer to it, so it is shown read-only on the edit page; the name, price and description remain editable. Leave the code blank when creating a service and one is generated from its name.
Packages that hold more than services
A package is a single price for a group of things the patient receives together — a maternity package, an executive check-up, a minor procedure with its supplies. Each line in a package can be:
- A service from your catalogue, priced from the department that owns it.
- A product from your pharmacy or supplies inventory — a face mask, a dressing kit, a take-home medicine — searched by name as you type.
- A custom line for anything not in either list, with a name and price you enter yourself.
As you build the package you see three running figures: the item subtotal (what the parts cost individually), the package price you are charging, and the aligned discount — the gap between the two. That discount is what the patient sees as their saving, and it is what appears on the bill when the package is availed, so the single package price and the itemised breakdown can never drift apart.
Prices are captured when you build the package, so later changes to a service or product price do not silently move an existing package's discount.
Showing packages on your public site
Packages can be advertised on your clinic's public pages, but only the ones you choose. Each package carries its own Show / Hide toggle on the Service Packages list; nothing appears publicly until someone switches it on, so a package you are still pricing up can never leak onto the site.
Published packages appear on the clinic home page under Popular Packages, ordered by how often patients have actually availed them, with a link through to a page listing them all and a page per package showing what it includes. Existing price-display rules still apply, so a clinic that hides prices publicly keeps them hidden here too — including the itemised breakdown.
Deactivating a package pulls it from the public site immediately, whether or not it is still marked as shown; reactivating restores it without anyone having to publish it again. Hiding a package only affects what patients see — it stays fully usable for billing inside the clinic.
Laboratory tests as services
If your clinic runs the Laboratory module, the tests in your Lab Test Catalog can be offered as services too — so a CBC or a urinalysis can be booked, put in a package, assigned to a doctor and ticked off on a visit like anything else you sell.
Use Import Lab Tests on the Departments page: choose the tests you want and each is added as a service in a Laboratory department, created for you the first time. Importing again only picks up tests added since, so it is safe to re-run whenever the catalogue grows.
Pricing follows the Lab Test Catalog. An imported service takes its price from the test and stays in step with it: change the price in the test catalogue and the service follows, which is why the price is shown read-only on that service. Retire a test and the service retires with it; bring the test back and the service returns. Switching the Laboratory module off hides these services without deleting anything, and switching it back on restores the ones whose tests are still active.

A clear menu of services and prices keeps charging consistent and makes it easy to introduce new offerings or seasonal packages. Lab work is priced in one place instead of being re-keyed into a second list that quietly drifts.
For doctors
Doctors are linked to the right departments and services, so scheduling and records line up with how the clinic actually works.
For staff
The front desk and cashier draw on a single, agreed list of services and prices, which removes guesswork and pricing mistakes.
For patients
They get clear, consistent pricing and can take advantage of packages that bundle related services — and the supplies or take-home items that go with them — at a better value, with the saving spelled out rather than buried in a single figure.
Setting up your services well here makes everything downstream — booking, billing and reporting — simpler and more accurate.
